A small company with huge care
Truly great adventures start with one thing. Someone caring enough to forge a real connection between a traveller and a place. The Green Spot, a New Zealand inbound operator, has built its whole team around that idea, designing tailor-made, self-drive trips for European travellers, many of whom are on the trip of a lifetime, often exploring the country for a month or more by rental car.
Staying small is deliberate. The team's vision is to be the biggest little inbound operator in New Zealand, big enough to matter, small enough to still know every client by name, never by file number. When a traveller's plans go sideways, it's the consultant on their file who picks up the phone, checks the rest of the journey, and makes sure they feel looked after. It's the kind of attention to detail that's easy to talk about and hard to actually deliver once a business starts to grow, this is the human part of the work no software can replace.
That kind of care takes time, and time is the first thing admin eats into. As bookings grew, so did the behind-the-scenes workload, and the team felt the squeeze between doing the work properly and doing right by the traveller in front of them. Something had to give, and the team was determined it wasn't going to be the care. To achieve this, as a company, The Green Spot prioritised process transformation, embarking on a long change management journey to protect their right to spend time caring about customers.

A team effort, not a one-person job
The Green Spot had run on Tourwriter for more than twenty years. In fact, The Green Spot was one of Tourwriter's very first customers, signing on not long after Tourwriter was founded in 2004. Moving to a new cloud platform meant rebuilding how the whole team worked, while the business kept running and bookings kept coming in. It wasn't a project that could be handled in the background by one person over a quiet week.
The rebuild meant re-entering every supplier and reloading every product in three languages, replacing a giant library of Word documents with Tourwriter's itinerary builder. Before the move, assembling a single itinerary by hand took the team 40 to 90 minutes. Today, the same team turns over four times the volume of business, with the same number of staff.
Rather than leaning on any single team member, the rebuild was split by strength, some people loading data at pace, others following behind with a sharper eye for detail, catching what needed catching before it ever reached a client. It made for a steep few months, but by the time high season arrived, everyone already knew the new system from the inside, because everyone had helped build it.
“We actually got all of our team involved. It was such a big task that it was impossible for one person to do.”
Kerryn Ralston-Boyd, General Manager, The Green Spot
The team's language skills made the transition smoother still, with several consultants working comfortably across English, German, and Dutch, a genuine point of difference for a business built around European travellers, and something that doesn't come from a system, only from the right people.

What the team protects with that efficiency
With the routine work simplified, the team puts its energy where it counts. It builds itineraries across multiple languages without starting from scratch each time, keeps every translation human rather than handing a traveller's first impression to a machine, and sends agent partners Postcards that are genuinely engaging to look at, not just accurate.
“We're not relying on AI 100 percent. It's personable, not just how AI spit it out.”
Kerryn Ralston-Boyd, General Manager, The Green Spot
Mass-market AI trip planners and OTA recommendation engines are getting sharper at the volume end of travel, but they work from averages. A bespoke operator running on purpose-built software still wins on what a generalist algorithm cannot fake. Real language fluency, a partner who knows the destination personally, and a response time that comes from a human who cares.

A set of tasks fires automatically for every booking. The team has completed more than 8,500 of them through Tourwriter, each one tracked so no one carries an invisible backlog. That day-to-day visibility means the team can support each other properly, spotting early when someone's stretched thin and sharing the load before it becomes a problem, rather than after.
Supplier payments now sync straight to Xero, two-way and in real time, replacing the manual file uploads that used to leave bills floating with no way to check them. The finance side now runs cleanly in the background instead of needing constant manual checking, which has given everyone back hours that used to disappear into admin.
None of it is about speed for its own sake. It all comes back to one thing for the team. The efficiency achieved is what protects their capacity to care, for every traveller, every time, no matter how busy the season gets.
“We're a small company with a huge passion for New Zealand and approach to looking after travellers with the ultimate care.”

Frequently asked questions
What does The Green Spot do?
The Green Spot is a New Zealand inbound tour operator. It designs tailor-made, self-drive trips for travellers coming from Europe, in English, German, and Dutch. Most travellers are on a once-in-a-lifetime trip of around a month.
How much more efficient has The Green Spot become on Tourwriter?
The team now turns over four times the volume of business with the same number of staff. Itineraries that used to take 40 to 90 minutes to assemble by hand are now built from a shared product database, and the team has completed more than 8,500 tasks through Tourwriter's automated task management.
Why did a small team take on a full rebuild instead of just hiring more people?
The Green Spot chose to fix the work rather than add headcount, so the team could handle more without losing the personal attention that defines the brand.
How does Tourwriter handle multiple languages?
Every product is loaded in three languages at once. A consultant can build a trip in one language, then switch the output language in a single step.
What are Tourwriter Postcards?
Postcards are image-rich, shareable web links. The Green Spot sends them to agent partners, who use them to present trips far more engagingly than a text-heavy document.
How does the Xero integration help?
Supplier payments used to be uploaded to Xero by file, with no way to confirm what had been done. The two-way integration syncs supplier bills and shows at a glance what is outstanding.
