Frequently asked questions.
Can we offer itineraries in other languages?
Yes. For every supplier and product you can store multiple descriptions, for example, one in English and one in Spanish, so the same trip goes out in the language your traveller reads.
How do our supplier rates get into Tourwriter?
We load your data in two stages. First your suppliers, products, and options come in, which is the structure everything else hangs from. Then your rates are imported against those products using a simple sheet. Once they are in, you can export them, update them for the next season, and import them straight back, so the yearly rate refresh stops being a manual slog.
Can Tourwriter read rates straight from a supplier PDF?
This is a new feature we are working on. Supplier rates arrive in every shape imaginable, from tidy spreadsheets to dense PDFs in another language, and we are building AI that turns that raw material into something you can import. For now the route is quick and clear even when it is manual, and your onboarding specialist walks you through it.
Can we bring our data across from another system?
Yes, and how smoothly it goes comes down to the state of your current data. Most systems let you export suppliers and rates as a spreadsheet, and from there we reshape that file into something Tourwriter can import. We always suggest setting aside a day or two to tidy the data first. A move like this is a rare chance to start clean rather than carry old clutter across.
Do we have to use Xero?
No. Tourwriter is the only certified Xero integration in travel design, so if you use Xero the two stay in step and your numbers reconcile without rekeying. If you do not use Xero, you can manage invoices, payments, and supplier bills inside Tourwriter instead. Nothing is locked behind the integration.
When a guest books a year ahead, when does the income show in Xero?
Raising an invoice in Tourwriter creates the matching invoice in Xero on the invoice date. How that income is then recognised across months is set by your Xero configuration and your accounting policy rather than by Tourwriter. Tell us how you need it to work and we will help you get it set up.
How quickly can we build an itinerary?
Once your supplier database is in place, a custom itinerary takes under thirty minutes, and two clicks send booking requests to every supplier on the trip. After moving to Tourwriter, Authentic Morocco built forty per cent more itineraries in ninety days with the same team.
